The Challenge

What was broken before we started

Jacksons Motor Group runs both a physical showroom and an online sales operation, generating leads through Time4Leasing and AutoTrader. Before the CRM, there was no centralised system for tracking leads, sales activity, or team performance.

Leads arrived via email and third-party dashboards and were managed manually - no single source of truth for who was handling what, where each deal stood, or whether a customer had been contacted at all. Leads could sit uncontacted for days without anyone noticing.

Management had no real-time view of the pipeline. Understanding how many leads were active, who was performing, or where deals were being lost meant manually piecing together information from multiple sources. Key metrics like conversion rate, finance capture rate, warranty attachment and revenue were either estimated or unknown.

Mark's number one priority going into the project was simple: he needed to trust the numbers. KPI accuracy wasn't a nice-to-have - it was the entire point.

What We Built

The solution

A fully bespoke lead management and sales CRM built from scratch in Next.js 15 with TypeScript, Supabase and Vercel. Every component was designed around Jackson's exact workflow - not adapted from a template or configured from off-the-shelf software.

8-Stage Sales Pipeline

Not Contacted → Contacted → Approved → Follow Up → Pending Delivery → Delivered / Lost. Each stage reflects how the team actually works, with lead counts and movement tracked in real time.

Automated Webhook Integrations

Two live webhook integrations - Time4Leasing (Savvas) and AutoConvert/AutoTrader - receive, validate and process incoming leads automatically. No manual data entry, no platform-switching, no missed leads.

Round-Robin Lead Assignment

Incoming leads are automatically distributed across the sales team in rotation. Every salesperson gets a fair share and every lead gets an owner from the moment it arrives.

KPI Dashboard

Real-time metrics calculated from live data: total leads, active pipeline, conversion rate, total revenue, finance capture rate, warranty capture rate, and pipeline breakdown by stage - all with colour-coded performance thresholds.

Comprehensive Reporting

Sales by salesperson, lead source performance, lead volume analysis, lost reason breakdown, date range filtering and CSV export. Management can answer any performance question in seconds.

Automated Email Notifications

Two branded HTML emails fire on every new lead: a confirmation to the lead source partner and a notification to the assigned salesperson with full lead details and a prompt to make contact within 5 minutes.

Full Lead Detail Pages

Each lead has a dedicated page showing customer information, vehicle interest, finance details, AutoConvert application data (credit banding, lender, APR, term, deposit), activity timeline and editable fields.

Production-Grade Engineering

Feature branches, PR workflow, Jest unit test suite covering all KPI calculations and webhook processing, Zod validation, Row Level Security on the database, rollback scripts for every migration.

The Smart Bit

Every KPI calculation is a pure TypeScript function covered by a Jest test suite. Mark's number one requirement was trustworthy numbers - so we made it impossible for the maths to be wrong. The calculations are tested, version-controlled and verifiable.

Ongoing Relationship

Phase 2 is in active development - individual user logins with role-based permissions, SMS integration via Twilio, enhanced reporting, team separation between Showroom and Online, and additional lead source integrations.
